User-details editing screen

This screen opens in “edit” mode. In this mode, as long as you have not made changes, you can leave the screen by clicking the door icon [the “Save changes” and “Cancel changes” buttons will not be active]. If you made changes in edit mode, clicking “Save changes” will save them and return to the users screen, and clicking “Cancel changes” will delete them and return to the users screen [caution – the changes will be lost permanently this way].

On this screen you can record various details for each user [note that if you change their email address, they will be asked to re-confirm this address, as during the registration/invitation they received to the organization – please ask them to look for the message sent from DocsRobot in their inbox].

On this screen you can also turn on or off several important attributes of the user:

  • System administrator? If marked “yes”, this user will be able to perform various system-administration actions, like the one you are performing now. In future versions it will be possible to control certain administration actions separately [for example – a user who is a system administrator, but cannot change the user list…]
  • Approval: the user is permitted to enter the organizational system This toggle shows whether the user has been approved to enter this organization’s system or not, and it is needed for a unique case, in which the user requested to perform “join an existing organization”, through the system’s Sign up screen [see here], while providing the company number of the current organization. Since any user can request to join an existing organization, as long as they have not been given approval that they are indeed part of the organization, their entry to the system is blocked. The toggle allows revoking the approval at any stage, without deleting the user from the system. Note that a user whose entry has been blocked via this toggle still “occupies” one usage license.
  • Email address verified This is an indicator showing whether the user verified their email address, the one they connect to the system with, or not. This indicator cannot be changed, it is read-only. If the user has not verified this address, a button will appear next to the indicator, allowing the verification email to be sent to them again so they can confirm it [see this article regarding the way an email address is verified]
  • Active user This toggle is also used to block access to the system, without claiming that the employee is not part of the organization, as determined by the “Approval: the user is permitted to enter the organizational system” toggle mentioned above. Via this toggle you can revoke the approval without deleting the user from the system. Revoking the approval blocks their entry to the system. Restoring the approval allows their entry again. Note that a user whose entry has been blocked via this toggle still “occupies” one usage license. Next to the toggle there also appears a “Reset password” button – clicking it and confirming will lead to a reset of the user’s password – an email message will be sent to them to reset the password.

In edit mode you can also upload a profile picture or update it if you already uploaded one [the pencil icon] or delete the profile picture [the trash icon]. Note that uploading/changing/deleting a picture is an action performed independently of the “Save changes” and “Cancel changes” buttons appearing above. Once you have updated the profile picture, this picture will appear on the main screen in the top-left corner.
