Sending a document for electronic signing

Below is an explanation of the various parameters that can be updated for each document and its electronic signatures

Send signed documents to an email address Each time a document sent for signing is signed, the signed document will be sent as an attachment to this address.

  • If the organization’s licensing also allows saving records, it will be possible to download the signed document at any stage also from the “records table” on the main screen [see here] and also from the record viewing screen [see here], but if the licensing does not allow this – this address is the only means the organization has to receive the document after it is signed!
  • Note that this is a uniform email address for all signed documents, regardless of who created them.
Signature template Choose the signature template file from the list [the list displays collections of the “electronic signature” type, that is, those that can be sent for signing – see this article]. After the template is chosen, you can click “Send” in order to send the signing request.
Communication channel Choose one of the following

  • Email
  • SMS
Recipient details According to the chosen communication channel:

  • Email address
  • Mobile phone number
SMS message content Choose one of the following

  • Automatic text – the system creates the content of the text message
  • “User-defined” – not active yet
Signature data Text in the signature panel – not active yet

Signatures:

  • Embedded – the signatures are embedded in the template documents in WORD. This is the recommended method for implementing signatures.   • Page[s] – the signatures will be placed on the pages and at the positions recorded here:
    • In the “Page number” field you can record discrete page numbers and page ranges, such as 1,3,5-8
    • The X,Y fields display the coordinates of each signature on each page [the values range between 0 and 1]
    • This method is not recommended.
