| Document collections – a reminder
Document collections allow system users to generate Word/PDF documents from information records with a single button click, and if needed, also send these documents for electronic signing. This capability is based on the fact that each record is built from a certain digital form, to which one or more “template documents” [in Word] are connected [a “document collection”]: as soon as a user requests to generate a document from the record – the system “merges” the data in the record into the template documents in the collection. Although usually each “document collection” contains a single template document, the system allows saving more than one document in the collection, and therefore it is called a “document collection” and not simply a “document”. The reason for this is that sometimes you want to generate several documents simultaneously from a single record. |
The actions on the screen
The screen is used to create or update a “document collection”. You can give the collection a name and add a description. You can add a new collection, change/update an existing collection, or delete a collection. The attributes of the collection itself can be set/changed from the upper part of the screen – there you can give the collection a name, and set a description for it. In the lower part appears the “documents table” from which you can manage the files in the collection. When you open a new collection, the action first asks you to choose a file and only then continues to this management screen, and therefore, the first file you chose already appears in the table.
